Understand each team member’s preferred style through open discussions. Acknowledge and respect these differences while setting clear guidelines for communication that ensure consistency and inclusivity. Use a variety of tools, combining asynchronous methods like email or shared documents for detailed updates and synchronous options like video calls for real-time discussions. Encourage flexibility by matching the communication method to the situation's urgency or complexity. Emphasize the importance of active listening and clarity to avoid misunderstandings, fostering a collaborative culture where everyone feels heard and valued. Continuously review and refine these practices based on feedback.

Before discussing tactics to address communication challenges, leaders should consider a proactive gap analysis (current to desired state) to identify specific strengths and opportunities - while collaborating on a vision statement that aligns this plan to company values and strategies. From this assessment, a cadence of accountability (for both internal and external communications) can be agreed upon/monitored and, through lead vs. lag measures, focus on what will happen instead of what already happened. Celebrate successes, reflect on misses, and learn from one another to build community, best practices, and risk mitigation examples.

Start with revisiting if the norms of communication are clear. Create team-wide agreements on communication preferences, such as response times, meeting cadences, and platform usage. Ensure these norms balance individual preferences with team efficiency. E.g., “Let’s agree that urgent matters go through Slack, while detailed updates are shared via email. We’ll discuss larger issues in weekly syncs.” Impact: Clear guidelines reduce friction, set expectations, and establish a sense of fairness. And ofcourse, have genuine empathy. That has no shortcut.

When I hear a team is struggling with "communication preferences," I wonder if something bigger might be going on. While it sounds like a real issue, it could mask deeper challenges. Maybe the team doesn’t get along, there’s a lack of respect for leadership, or the company culture is unfair. May be unclear roles, unmet expectations, or even burnout. To uncover the root cause, I’d meet individually with team members to hear their perspectives. If their stories align and the issue is communication, practical steps like aligning tools or improving processes could help. But if it’s something deeper, rebuilding trust, resetting expectations, or addressing culture is the priority. Identifying the right problem is the first step to collaboration.
