- [Instructor] How do you get data into Visio shapes? You can, of course, enter it manually. However, if you have Visio Professional or Visio Plan 2, there's a better way. In this diagram, the only data that was manually entered in each shape is a unique process number. That's because we have a data source that looks like this. The names of the first three columns match shaped data field names, and the data in the process number column matches the values in the shapes. The fourth column contains a data field that doesn't yet exist in the shapes. Back in Visio, there are two steps. One, link the diagram to the data source, which happens in this video. And two, link rows of data to specific shapes, which is in the following video. On the Data tab, in the External Data group, select Custom Import.
